This position is an on-site role working M-F. This role will support our critical care areas, including the Emergency Department (ED), Intensive Care Unit (ICU), and Cardiovascular Intensive Care Unit (CVICU) As we continue to expand our UKG rollout, the scope of this position will grow to support additional departments.
Job Summary:
Works with directors, managers and house supervisors to ensure appropriate staffing for the designated units. Looks ahead to fill vacant shifts with internal staff and external supplemental staffing if necessary. Inputs accurate and balanced master schedules, processes PTO, captures and reconciles leave management and absence according to policy, timecard helping hands, generates various reports, and assists with scheduling system updates and requests. Trains and acts as a resource to new staffing coordinators. Handles advanced scheduling.
Job Requirements:
Education and Work Experience:
- High School Education/GED or equivalent: Preferred
- Associate’s/Technical Degree in administration or equivalent combination of education/related experience: Preferred
- Three years' related experience: Preferred
Essential Functions:
- Ensures units have appropriate number of staff based on census and budget on a daily basis.
- Manages daily time keeping and ensures associates have clocked in correctly. Updates any missed punches and corrects cost center if needed.
- Schedules and balances the 6-week scheduling cycle, manages the schedule for associates going out on leave of absence and processes paid time off.
- Generates reports for projected needs and creates bi-weekly reports using Excel. Schedules system data. Assists scheduling system updates/change requests, placing tickets for new tasks to be built in scheduling system and tickets for new access requests. Assists with questions regarding scheduling system functions.
- Trains new staffing coordinators during onboarding process to ensure associates are prepared for the role.
- Performs other job-related duties as assigned.
